However, no guarantee can be given for the correctness and the completeness of the trade fair information. No liability shall be assumed for issues that may result from incorrect or missing information or for input errors.

This website and its original content are operated by Embusinesstravel.com and are protected by international copyright, trademark, and other intellectual property or proprietary rights laws.

  1. Reservation Procedure
  • Inquiries must be sent to Embusinesstravel.com via e-mail at info@embusinesstravel.com or through Embusinesstravel.com website inquiry form. Embusinesstravel.com must reply to all inquiries with written offers during working days (Monday – Friday).
  • Upon requesting a reservation, you are offering us a contract based on our offer. The contract does not become effective before Embusinesstravel.com:
    • Confirms acceptance of your reservation request in writing;
    • Sends written confirmation of your reservation via e-mail;
    • Receives either full payment, or a deposit payment for your reservation by the payment deadlines indicated in our offer;
    • Sends you an invoice;
    • Sends you a travel voucher.
  • Prices and availability of the particular travel service are valid at the time of offering. In case Embusinesstravel.com is unable to confirm the initially requested travel service, an alternative may be offered and you will be asked to accept or reject the alternative within 5 working days in writing.
  1. Pricing

Please note prices are subject to change. We reserve the right to vary prices in case of currency exchange rate fluctuations, price changes made by hotels, wholesalers and other suppliers, tax changes or any other circumstance. In such cases, Embusinesstravel.com must advise you of the relevant price change in writing. You will be asked either to pay the price difference, or request a reservation cancellation, which may result in cancellation fees.

  1. Payment

Please note either full payment, or a deposit payment must be made from your side by the payment deadlines indicated in our offer. Embusinesstravel.com reserves the right to cancel your reservation in case you refuse to follow the payment procedure and deadlines indicated in our offer. Embusinesstravel.com accepts payment by bank transfer. Every payment made to Embusinesstravel.com must be accompanied by a payment proof, according to the instructions provided by our consultants.

  1. Travel Vouchers

Once your reservation is finalized (full payment and necessary travelers’ data have been sent from your side), Embusinesstravel.com must send you the relevant travel voucher within 5 working days via e-mail. In case you have not received such travel voucher, please contact us via e-mail at info@embusinesstravel.com. The travel voucher must be presented upon arrival at the property (hotel, motel, guesthouse, apartment, etc.) or meeting place at the airport – for airport transfers. The travel voucher is a document which proves that your reservation has been pre-paid. Only additional services, such as breakfast (in case not included in your reservation), telephone calls, laundry service, etc., are payable on spot. In case the property staff is unable to find your reservation, or you experience difficulties with meeting your chauffeur, please call immediately the emergency number indicated in your travel voucher.

  1. Reservation Cancellations

Reservation cancellation requests must be sent in writing to Embusinesstravel.com, not to the property / local supplier. Embusinesstravel.com shall assume no liability for any issues arising as a result of the client contacting the property / local supplier directly to request any reservation modification or cancellation. Embusinesstravel.com must confirm acceptance of your reservation cancellation request, also in writing. Cancellation fees will apply according to the cancellation deadlines indicated in our offer. Unless otherwise specified in our offer, reservation cancellations are subject to the following Embusinesstravel.com Standard Cancellation Terms:

  • Cancellations made more than 6 (six) months prior to arrival date are subject to 15 EURO cancellation fee (per reservation);
  • Cancellations made between 6 (six) and 3 (three) months prior to arrival date are subject to 20% cancellation fee (20% of the total amount of the cancelled travel service);
  • Cancellations made between 3 (three) and 1 (one) month prior to arrival date are subject to 40% cancellation fee (40% of the total amount of the cancelled travel service);
  • Cancellations made between 1 (one) month and 2 (two) weeks prior to arrival date are subject to 60% cancellation fee (60% of the total amount of the cancelled travel service);
  • Cancellations made between 2 (two) weeks and 1 (one) day prior to arrival date are subject to 80% cancellation fee (80% of the total amount of the cancelled travel service);
  • Cancellations made on the arrival date are subject to 100% cancellation fee (100% of the total amount of the cancelled travel service);
  • Refunds (where applicable) will be processed via bank transfer within 30 working days. Every refund is subject to 20 EURO administrative fee;
  • During busy periods (such as trade fairs, congresses, exhibitions, festivals, etc, when there is high demand for accommodation) Embusinesstravel.com reserves the right to change the cancellation policy to 100% non-refundable.
  1. Reservation amendments

Reservation amendment requests must be sent in writing to Embusinesstravel.com, not to the property / local supplier. Embusinesstravel.com shall assume no liability for any issues arising as a result of the client contacting the property / local supplier directly to request any reservation modification or cancellation. Embusinesstravel.com must confirm acceptance of your reservation amendment request, also in writing. Reservation amendment fees will apply according to the reservation amendment policy indicated in our offer. Unless otherwise specified in our offer, reservation amendments are subject to the following Embusinesstravel.com Standard Amendment Terms:

  • In case you would like to cancel single components of your reservation (rooms, nights, travelers, etc), please refer to the Embusinesstravel.com Standard Cancellation Terms described in the “Reservation Cancellations” part;
  • In case you would like to add components to your reservation (rooms, nights, travelers, etc), Embusinesstravel.com must send you additional offer, as per the current rates, availability and reservation terms. Additional payment must be made from your side as per the payment procedure indicated by Embusinesstravel.com consultants;
  • Once the reservation amendment is confirmed, Embusinesstravel.com must send you the updated travel voucher.
  1. Minimum night stay. Early arrivals. Late arrivals. Late departures. No-shows. Name lists.
  • During busy periods (such as trade fairs, congresses, exhibitions, festivals, etc, when there is high demand for accommodation) hotels often apply minimum night stay requirements. Minimum night stay is part of the reservation policy. In case the property requires minimum night stay, Embusinesstravel.com must include this requirement in the offer.
  • As a general rule you can check-in from 14:00 on the day of arrival and must check-out at 12:00 (noon) on the day of departure. Early arrivals (before 14:00 on the day of arrival) can be requested, however cannot be guaranteed by Embusinesstravel.com. Early arrivals can only be guaranteed in case an extra night has been prepaid.
  • As a general rule hotels would hold the reserved room until 18:00 on the day of arrival, especially during busy periods. In case you are planning late check-in (after 18:00 on the day of arrival) you must advise Embusinesstravel.com accordingly in writing. Embusinesstravel.com shall assume no liability for any issues arising as a result of unreported late arrivals.
  • As a general rule you can check-in from 14:00 on the day of arrival and must check-out at 12:00 (noon) on the day of departure. Late departures (after 12:00 – noon – on the day of departure) can be requested, however cannot be guaranteed by Embusinesstravel.com. Late departures can only be guaranteed in case an extra night has been prepaid.
  • No-shows, especially during busy periods, will be subject to 100% no-show fee (100% of the total amount of the reserved travel service).
  • Guest name list must be provided to Embusinesstravel.com no later than 2 (two) weeks prior to the day of arrival or at the time of booking for non-refundable / non-amendable reservations. Guest name lists must be sent in writing to Embusinesstravel.com, not to the property / local supplier. Embusinesstravel.com shall assume no liability for any issues arising as a result of the client contacting the property / local supplier directly to send guest name lists / request guest name changes.
  1. Unavailability and Relocations
  • In case the reserved travel service becomes unavailable, Embusinesstravel.com must advise you accordingly in writing and send you alternative offer with similar parameters at the same price you already paid. You must accept or reject the alternative offer, also in writing, within 5 working days.
  • In case you accept the alternative offer, Embusinesstravel.com must send you a new travel voucher.
  • In case you reject the alternative offer, Embusinesstravel.com shall refund the total amount of your original reservation within 30 working days.
  • In case Embusinesstravel.com is not able to provide you with an alternative offer, the total amount of your original reservation shall be refunded to you within 30 working days.
  • In case Embusinesstravel.com is not able to contact you and receives no acceptance / rejection of the alternative offer from your side within 5 working days, the alternative offer will expire and the total amount of your original reservation shall be refunded to you within 30 working days.
  • Embusinesstravel.com shall assume no liability for any losses or additional costs that might occur as a result of re-location as this is completely beyond our control.
  1. Complaints

In case you have any complaints regarding the standard of the reserved accommodation, airport transfer vehicle, etc, please notify accordingly the reception desk or the relevant local representative during your stay. In case you are unable to resolve the problem with them, please contact Embusinesstravel.com via e-mail at info@embusinesstravel.com. Embusinesstravel.com shall take no responsibility for the standard of the service provided by the property / local supplier.

  1. Force Majeure (Unforeseen Circumstances)

Embusinesstravel.com shall not be liable for any issues arising from circumstances beyond our control. Such circumstances shall include natural disaster, acts of terrorism, delays, re-routing and/or additional expenses caused by public strikes, computer failure, telecommunications failure, overbooking, or any other force majeure causes beyond the direct control of Embusinesstravel.com.

  1. Modification of these Terms and Conditions

Embusinesstravel.com reserves the right to change these conditions from time to time as it sees fit and your continued use of the site will signify your acceptance of any adjustment to these terms.
